Long Lead Items

Long lead items are those materials, products, or equipment that when initially ordered may fall outside a designated milestone date for when they should be at the job site. See Exhibit 15-13 for the long lead items flow chart.

During the design phase, the design team should indicate those materials, products, or equipment where potential scheduling problems could exist. The PM and the purchasing department should review the design documents and prepare a list of the potential long lead items. All critical items should be reviewed with the owner with the recommendation that these items are purchased immediately. These items, once purchased, would then be assigned to the approved subcontractor responsible for the installation. Once the subcontractors are selected, confirmation should be obtained from them as to the availability of additional potential critical items not purchased initially. The subcontractors should also give notice of any other items that either are no longer fabricated or will create a potential scheduling problem. 25. Materials that are going to foreign countries should be tracked on a continuous basis. A follow-up log is indicated in Exhibit 15-15. The list of potential long lead items is noted in Exhibit 15-16.

In order for the CM/GC and the subcontractors to keep track of the schedule on a continuous basis, it is a good idea to break down the schedule into two-week increments. In this way, all the participants can focus on the activities that have to be accomplished within the next two weeks. In addition, any milestone dates would be noted on the two-week look ahead schedule. The milestone dates would be those activities that must be accomplished in order to meet the schedule end date. This is not to say that you forget about the main schedule because you never want to lose sight of the big picture—the completion of the project and the related milestone dates. Exhibit 15-17 shows the elements for preparing a two-week look ahead schedule.
